The Role of Transport Assistant

We are looking to recruit an experienced and professional Transport Assistant based at our Head Office in Fareham, Hampshire, who has the skills and competencies to successfully fulfil this varied role.

The role of Transport Assistant involves the following main key tasks:

  • compiling the weekly LGV driver payroll from what has been recorded on the ADT System, maintaining and updating the ADT system, and dealing with any queries in liaison with payroll
  • inputting all absences onto the ADT system and cross referencing it with the LGV Driver holiday record cards
  • Tachograph management, including monitoring of downloading vehicles/driver information, infringements, and recording all information and holidays on the Tachomaster system
  • Completing transport related paperwork and registers:
    • Concrete paperwork – recording and passing to the Concrete division
    • Defect registers – ensure defects are being received from the LGV Drivers without a PDA.
    • Keep the driving licence/Driver CPC Card folder and records up-to-date
    • Maintain the Fuel Hub fuel monitoring system
    • Update and manage the Wheels Removed Register
    • Issue letters in respect of positive feedback/licence reminder letters and post interview letters.
    • Monthly recording of vehicles KM’s and monthly MPG reports
    • Gather monthly Company car mileages
    • Compile new starter packs for new LGV Drivers, including an ADT clock card for all new staff
    • Provide Vaculug with end of month mileages
    • Book regular planned maintenance for vehicles
  • ensuring paperwork submitted by the LGV drivers has been completed in full and obtain any missing information, as necessary
  • managing the Woolston Bridge Card account to make sure it is always in credit
  • ordering, managing, recording, and maintaining LGV Driver PPE requirements using the ‘Safeaid Online System’
  • issuing order numbers that have been approved by the Transport & Plant Manager and signing off correct invoices but notifying the Transport & Plant Manager of any discrepancies
  • FORS Silver administration, ie updating training records, accident investigations, fuel, CO2, NOX and vehicle data records on a regular basis
  • planning, booking, and arranging the LGV Drivers annual DCPC courses for the year and advise the drivers, Traffic Office team, and transport management, and update the spreadsheet and LGV Driver’s Training Record cards and Training Matrix
  • completing the annual Recruitment Agency and Sub-Contractor compliance checks (eg insurances, etc)
  • ensuring Company Policies are issued, read, and a receipt form is signed by all LGV Drivers and retained in the Transport record management system
  • compiling and managing an iHASCO training schedule for all LGV Drivers to undertake throughout the year
  • liaising with the LGV Driver/Foremen and assisting with any documentation that is needed
  • completing daily/weekly compliance vehicle filing into the relevant vehicle’s individual file and undertake annual vehicle file archiving
  • assisting in creating efficient and effective systems and supporting other members of the team.

The Ideal Transport Assistant

  • Good IT skills, with intermediate Excel skills
  • Excellent telephone manner – remaining friendly, polite, and professional at all times.
  • Great communication and interpersonal skills, and excellent attention to detail.
  • Good organisation and prioritisation skills, with the ability to use own initiative.
  • Hardworking and conscientious.
  • Positive, motivated, and pro-active.
  • Reliable, flexible, and adaptable.
  • Ability to remain calm and patient when under pressure or meeting deadlines.

Reward

  • Salary range:  £25,306 pa to £28,000 pa, depending upon skill set and experience.
  • 25 days holiday which increases to 27 after 5 years service, and 30 after 10 years service
